Teamwork.com is project management built for client work, and its resourcing features depend on the plan. This page is for agencies that run delivery in Teamwork but find resource planning is the weak spot, or the expensive one. It sets out which Teamwork plan includes which resourcing features, what that costs, and where Kavaro fits.

In short: You can see workload on Accelerate. On the pricing page, tentative & active resource planning and scheduling by role or skill are listed on Optimize, which is quote only. Teamwork's help centre says availability depends on your plan, so confirm with Teamwork for yours.
Where Kavaro differs
Tentative work and open roles at one price
Kavaro has one plan, £15 per user per month billed annually. It includes:
- tentative bookings, shown striped next to confirmed work
- open roles for seats you haven't filled
- time off, all in one weekly schedule
Work can be tagged Tentative, Pitch, Opportunity or Estimate. As one agency ops lead told us: "Where this starts to get really interesting, I guess, is provisional bookings."
Staffing from the statement of work
Drop a statement of work into Kavaro's chat. It drafts the phases, budget type (time and materials, fixed fee, fixed hours or retainer), the team and the tentative bookings against people or open roles. You edit and confirm.
Costed cover options
Kavaro's hiring agent looks 4, 8 and 12 weeks ahead at every open role. It ranks the costed ways to cover each one:
- same-role colleague with space
- slipping the start by up to 10 working days
- partial cover plus a freelancer
- extending a contract
It also tests whether a permanent hire would pay for itself over 12 months.
Margin on every booking
Every booking carries a charge rate and a cost rate. The finance view shows revenue, cost and margin by client for the period, with tentative revenue on its own line. On Teamwork.com, profitability insights sit on Optimize.
Workload that reflects reality
Some older Teamwork reviews point to the gap between tasks and capacity. In 2020 a marketing agency director wrote: "The workload piece is quite buggy, and has caused us several issues overloading work in a particular week" (4★, Capterra). In 2019 another reviewer wrote that "Our team resorted to syncing data to external data management tools to assist with planning and resourcing." Teamwork has added resourcing features since, so take those as history, not a verdict.
In Kavaro capacity comes from bookings, the working week and time off. The weekly feed flags:
- people on the bench
- leave that clashes with bookings
- utilisation by person
- timesheets under 90%

| 60-person agency | $1,499.40/month | $1,200/month |
Accelerate is the highest published list price (Optimize is quote only). Figures are list price × users, billed annually, in US dollars, before tax. Kavaro is $20 per user per month billed annually.
The honest read: Accelerate also gives you tasks, projects, client collaboration and invoicing, which Kavaro doesn't. If you need those anyway and workload planning is enough, Accelerate is good value. The case for Kavaro is when you need tentative work, role-based cover and margin and don't want an Optimize quote. In that case you'd keep your project tool for tasks, which may be a cheaper Teamwork tier or something else.
When Teamwork.com is the better pick
- You want one tool for tasks and capacity, and Accelerate's workload planning covers your needs.
- You're already on Optimize, with tentative and role-based planning in use.
- Your clients work inside Teamwork with you, through collaboration, approvals and invoicing.
- You value its track record. 942 Capterra reviews at 4.5. Kavaro is new.
When Kavaro is the better pick
- Pitches and provisional work keep colliding with confirmed work.
- You need margin per booking and costed cover options, not just a workload chart.
- Your resource manager plans in a spreadsheet next to Teamwork because the PM tool doesn't show what they need.
- You'd rather trial today at a published price than wait for an Optimize quote.
One head of delivery at a 120-person agency described their current tool like this: "You have to move everything manually around."
